A real-time dispatch and load-tracking platform
We replaced a tangle of spreadsheets and phone calls with a single dispatch platform that tracks every load from booking to delivery, giving operations a live view of the entire fleet.

The challenge
- Dispatchers coordinated drivers across email, text, and three disconnected spreadsheets, with no single source of truth for load status.
- Customers called constantly for delivery updates because there was no way to share live tracking, tying up the operations team for hours each day.
- Billing depended on manually reconciling paper logs against invoices, which routinely delayed payment and introduced errors.
Our approach
Mapped the real dispatch workflow
We embedded with the operations team for two weeks to document how loads actually move, then designed a data model around real states: booked, assigned, in transit, delivered, and invoiced.
Built a live operations dashboard
A WebSocket-driven board shows every active load and driver location in real time, with filtering by region, status, and customer so dispatchers can act in seconds.
Connected telematics and accounting
We integrated the existing GPS telematics provider and the accounting system so location data and proof-of-delivery flow straight into invoicing without re-keying.
Shipped a customer tracking portal
Customers now follow their shipments through a secure link, which removed the majority of status-check phone calls.
The results
- Dispatch turnaround dropped by 63% once everything lived on one board instead of across spreadsheets.
- Automated proof-of-delivery cut the billing cycle from days to hours and eliminated reconciliation errors.
- The customer portal reduced inbound status calls dramatically, freeing the team to handle exceptions.
For the first time we can see our whole operation on one screen. The platform paid for itself in the hours we got back every single week.
